When working on your books, you want to work both efficiently and quickly.  Data entry is one of the items that tends to stand in the way of this.

If you ever find yourself entering the same thing daily, monthly, or even quartely then you might was to start using the Memorized Transactions List.

There are people that have plenty of time to waste during their 8 hour day and struggle to keep busy.

But there are people out there that need to work quickly and efficiently.  If you are a business owner, office manager, a hard worker, or a person that values and utilizies their time, then this is for you.

QuickBooks is equipped with a feature that can help save time with data entry.  The 'memorized transactions' list can save transactions that you enter on a regular basis.

If the entry is the same, meaning same amount, same account, and takes place at the same time (day, month, quarter, year, etc), then the transaction can be entered automatically.  Its simple, enter the transaction, right click on it and click 'memorize transaction.'

This will then walk you through the process of setting up the reoccurring transaction.

It can be set up to enter bills to be paid, journal entries, checks written, prepaid expenses, and the list goes on and on.

To pull up the list of memorized transactions, click on 'lists' on the top menu bar, then 'memorized transactions.'

The quicker way to get to this list is to use the keyboard shortcuts 'Ctrl + T'.  Within this list, you can change amounts, accounts, frequency, etc.

This is just another easy to step to free up some more time for you to focus on what you are good at; sales, operations, enjoying free time, growth, etc.

If you are a business owner and get your bookkeeper using this list, they will then have more time to focus on the other things such as; reporting, budgeting, forecasting, financial analysis, etc.

If you aren't sure what you can or can't memorize, get in touch with me and I would help show you the capabilities of this.

I am a big fan of working efficiently as possible, and this 'memorized transactions' list alone can save a lot of time and minimize time wasted on many things like office olympics, paper airplane comps, and even the 'funniest face on the photocopier' game.
